Terms and Conditions
All quotes will be confirmed by email or in writing if no email address is supplied. The quote will state the total price, including all requested services. The price you are quoted is the price you will pay, the only exception being for losses and damages.
A non-refundable deposit of £50 or 20% of the order value, whichever is the greater, is required to confirm your order except by prior arrangement.
Delivery and Collection
Delivery and/or Collection is not included in the Hire Charge.
If Delivery or Collection is required, a charge will be made depending on distance and will be included in our quote confirmation.
Our delivery service is from door to door and is based on our driver having unencumbered access to a convenient ground floor location. An extra charge may be made if hired items have to be carried over any distance.
Hirers should ensure that they, or their representatives, are at the delivery address at the agreed time. Wasted journeys will be charged for. Deliveries to third parties or unoccupied premises are made entirely at the hirer’s risk.
The hirer is responsible for checking the hired items on delivery and shall immediately notify Event-Equip of any discrepancies between hired items supplied and those ordered, or of any hired item received broken or damaged.
Complaints made after the return of the hired items will not be considered.
In the case of Collection, all goods should be checked, re-boxed as appropriate and made ready for immediate loading. An extra charge may be made if the goods are not available for collection at the agreed time.
Goods will be available for collection by the hirer or delivery by us one day before the event and must be returned or collected one day after, except by prior arrangement. For weekend events, they will be available on Friday and must be returned on Monday. An extra charge of 50% per day will be made if goods are returned after the due date.
All hired items, including packing containers, remain the property of Event-Equip.
The hirer is responsible for the safe keeping of all hired items from the time of delivery until returned to the custody of Event-Equip.
Losses or Damages
Losses or damages to hired items will be charged for separately at replacement cost. The hirer will be notified of losses/breakages/damages once all hired items have been checked at the Event-Equip warehouse. Substitute items will NOT be accepted.
The hirer shall fully indemnify Event-Equip in respect of all claims by any person whatsoever (including the hirer, his servants, agents or employees) for death or personal injury or damage to property caused by or in conjunction with or arising out of the use of hired items and in respect of all costs and charges arising under statute or common law or otherwise.
The hire charge for linen includes the cost of laundry. Linen must be completely dry before being returned since it can be ruined very quickly by mildew. Any damage, including that caused by mildew, cigarettes, candle burns or hot cooking utensils will be charged to the hirer at replacement costs.
The FULL order price should be paid in advance, on delivery by us or collection by the hirer. See above for deposits. Payment can be made by credit or debit card, cheque payable to “Event-Equip” or bank transfer (details on request).
In the event of default of payment, the hirer will be required to pay all costs incurred in respect of recovery – including solicitors and any other legal fees.
If, for any reason, you are unhappy with the product supplied please contact us. Our policy is to ensure customer satisfaction and we will be happy to replace the product provided it has not been used.
Cancellation more than 30 days before the event date will be subject to the forfeit of the deposit paid (see above).
Cancellation between 14 and 30 days of the event date will be subject to a charge of 25% of the quoted figure excluding any services.
Cancellations between 7 and 13 days of the event date will be subject to a charge of 50% of the quoted figure excluding any services.
Cancellations less than 7 days before the event date will be subject to a charge of 100% of the quoted figure excluding any services.
This does not affect your statutory rights as a consumer.

Should you need to contact us for any reason, you may call us on 01547 529996. If there is nobody available to take your call, please leave your name, contact number and nature of your enquiry on our answer-phone and we will call you back as soon as possible.
Our approach to complaints is simple, in that our objective is to have ‘delighted customers’. If you have any reason for complaint about our products, services, website, in fact anything to do with Event-Equip, then we hope you will contact us. We will respond to you as soon as possible. Our aim is a top-class service so any help that you, as a customer, can give us to improve would be gratefully received. All complaints will be dealt with in the strictest confidence.
We are committed to protecting your privacy. We will only use the information that we collect about you lawfully (General Data Protection Regulation – GDPR 2019).
We collect information about you for 2 reasons: firstly, to process your order and second, to provide you with the best possible service. We will not e-mail you in the future unless you have given us your consent, except to confirm order details. We will give you the chance to refuse any marketing e-mail from us in the future. We will never collect sensitive information about you without your explicit consent. The information we hold will be accurate and up to date. You can check the information that we hold about you by sending us an e-mail. If you find any inaccuracies we will delete or correct it promptly. The personal information which we hold will be held securely in accordance with our internal security policy and the law.
We will not transfer your information outside the EEA (European Economic Area).
We may use technology to track the patterns of behavior of visitors to our site. This can include using a “cookie” which would be stored on your computer.
